How to plan for your event video / photo needs

“Corporate events are happening all throughout the year. How can I plan for success? Start with the main purpose of the event.”

Maybe it’s an awards ceremony, leadership conference, trade show or a fundraiser for a non-profit… The purpose of the event is the starting point because it determines the scope of the event and what the essential things are that must be captured. Let’s go through some of the necessary details for keeping things on track.

Scope

After clarifying the purpose, you should have a better idea of the scope of the types of videos and photography needed.

  • What are the critical things that must be captured in order to communicate the purpose?

  • Who will be highlighted during the event?

  • How many days will the event last?

  • Where will the event be located?

  • Will there be a keynote presentation?  Perhaps a panel of multiple speakers?

  • Or just a fun fundraising dinner with an auction portion?

  • A branded background with the company/sponsor logos for the award recipients to get their photo taken?

  • What is the budget?

Future Promotion

Capturing the success of the event to communicate for next year's promotion is critical to success, especially if marketing and sales of tickets is involved.  It’s gonna be a tough sell if you can’t demonstrate the value of attending.  Think ahead, get ahead!

Bonus: Streaming!

Live-streaming an event can be a great tool in the right situation, but it can be a big addition to the budget.  Here’s our 3 top three reasons to include a live-stream at your next event.

  1. You have the time and resources to promote the live-stream before the event.

  2. Your event is time sensitive and it is important for your audience to watch the events unfold in real time.

  3. Real time feedback!  If the interaction of your virtual crowd is important, then live streaming could be essential.  Polls, surveys, and Q&A are just some of the things possible with a live audience that is ready to provide feedback in real time.
